District Tuition Reimbursement

The District will cover tuition for a full associate's, bachelor's or master's degree program. This program offers employees the opportunity to learn and grow within the District while maintaining a commitment to education. The program covers tuition only (books, fees, materials, mileage, parking, and other related expenses are not included.) The total reimbursable amount participants may receive is based upon an annual state allocation; therefore, this amount varies from year to year.

Eligibility:

  • Employee is in good standing (no pending disciplinary action)
  • Employee evaluations have received an overall job rating of exceeds expectations or higher
  • Employee has been employed in the District for 2 years
  • Coursework/program does not impact work or the department negatively
  • Program is career-path relevant
  • Program is from an accredited institution
  • Employee agrees to 5 years of service after the final reimbursement:
      • Leaving the District prior to 5 years of service requires the employee reimburse the District. Please see page 4 of the Tuition Reimbursement Agreement for further details 

Steps for applying

Before courses in the program  begin:

  • Decide on a program and school
  • Review and complete the Tuition Reimbursement Program Application and Agreement by the appropriate deadline (Fall application deadline: April 1; Spring application deadline November 1)
    • Section I must be completed each semester the applicant would like reimbursement for the program
  • Obtain approval signatures from supervisor, college president, and Vice Chancellor of Human resources before the program begins (email the application to Ingrid Melgoza for the Vice Chancellor's signature)

Please note: The application is for the entire degree program.

At the end of each semester:

  • Within 30 days of completing the semester, submit the following to the District:
  • Copy of approved program application
  • Completed Section II of program application with  a complete list of course titles, amount of reimbursement requested, and signatures
  • Official transcript with final grades (must be C or better)
  • Final tuition bill/receipt of payment listing courses
  • Financial aid documentation
  • A/P Reimbursement Request form

Reimbursements are issued 1 - 2 weeks after materials are submitted.

Restrictions

  • Funding availability
  • Grading (C or better; no voluntary P/NP - if an institution offers the class as P/NP only, notify District HR)
  • Repay reimbursement to District if Employee separates from the District before completing 5 years of service after final tuition reimbursement
  • Reimbursement may potentially affect income tax
  • Disciplinary action may make an employee ineligible for the duration or a semester of the program
